Booking Conditions

These Terms & Conditions and Cancellation Policy apply to bookings made directly with Australian Adventure Group Holdings Pty Ltd (ACN 661 075 163) trading as Adventure Educational Tours (the Operator, “we”, “our”, or “us”) via our website, phone, or email.

Bookings made through third-party platforms may be subject to separate terms and conditions set by those providers.

PREMIUM PRIVATE TOURS

Bookings

• Deposit: A non-refundable deposit of 20% is required at the time of booking to confirm the charter

• Balance: Full payment is required no later than 45 days prior to the scheduled departure date

Cancellation Policy

Cancellation fees apply as follows:

• More than 46 days prior to departure: 20% of the total tour cost

• 45 to 31 days prior to departure: 50% of the total tour cost

• 30 days or fewer prior to departure: 100% of the total tour cost

Operator-Initiated Cancellations

In the unlikely event we are unable to operate a tour due to weather conditions or unforeseen operational circumstances, you will be offered either:

• an alternative travel date, or

• a full refund

GENERAL CHANGES

Itinerary Changes

We reserve the right to alter itineraries, accommodation, transport providers or inclusions due to weather conditions, road closures, safety considerations, or other unforeseen circumstances.

• Substitutions may include alternative vehicles, suppliers, or operators

• Minor changes do not entitle passengers to a refund

Timing & Liability

Tour timings are indicative only and cannot be guaranteed.

We are not liable for:

• missed connections

• delays caused by weather, road conditions or mechanical issues

• additional expenses incurred as a result of delays

Fuel Surcharges & Emergency Levies

We reserve the right to apply a fuel surcharge, emergency levy or other cost adjustment (“Levy”) where operating costs increase significantly beyond our control.

• This may apply where fuel costs increase by more than 25% from the date pricing was set

• The Levy will be calculated per passenger based on actual cost increases

• The Levy may be payable at booking, prior to departure, at check-in or on departure

Where a material increase occurs after booking, standard cancellation fees will not apply.

Passenger Conduct & Safety

We reserve the right to refuse participation, without refund, where a passenger:

• endangers themselves or others

• behaves in a disruptive or unsafe manner

• engages in illegal activity

We are not liable for the actions of other passengers.

Accommodation (if applicable)

Where accommodation is included:

• We reserve the right to substitute accommodation providers

• We will aim to provide a comparable standard

• We are not liable for incidents occurring at third-party accommodation providers

FORCE MAJEURE

We are not liable for delays, changes, or cancellations caused by events beyond our control, including but not limited to:

• natural disasters (floods, cyclones, bushfires)

• pandemics or government restrictions

• industrial action

• war or civil unrest

• infrastructure or equipment failure

In such cases:

• itineraries may be modified

• reasonable alternatives will be offered

• no compensation is payable for disruptions outside our control
